INSTRUCTIONS ON HOW TO DOWNLOAD FROM DIGITAL RECORDER

1. When your boss hands you the recorder, go to your computer, create a new folder, name it user and date, i.e. if your lawyer's name is john smith and it's January, 1, 2007, say "js1107." You can minimize this folder for now; this is where you will move the downloaded items to.
2. Now plug the USB cable into your computer at the USB port. Plug that cable, the small end, into the side of the digital voice recorder. There's a little plastic tab on the side that you plug the other end of the cable into.
3. Then open the program for that particular recorder (which you should have downloaded into your computer already from the enclosed CD). Click download. Once the downloading stops, copy the files into the folder which you have created earlier (username and date).
4. After you have copied the files into your folder, disconnect the recorder from the USB cable. Delete items from the recorder. (Warning: do not delete the recorded items until you have unplugged the USB cable.)
5. Check the battery level (if the batteries are not near maximum, replace). Return recorder to the lawyer.
6. Now send an email to the transcriptionist with the attached dictation (you can zip the files to make them easy to attach and you can use a website like YouSendIt.com to send large files over the Internet if your dictation is too large to send over your regular e-mail client). Tell the transcriptionist when you want the transcription back, usually 24 hours. It is a good idea to keep a copy of the dictation on your own computer at least until you have received the transcription back.
7. When the transcriptionist has completed the work he or she will reply by email. At this point, you will need to add some finishing touches, i.e. letterhead, proofing, printing a copy and envelope (if needed) for the attorney to review and sign.
